The students are back. The halls are busy, backpacks are everywhere, and the school office is officially back in business.
And then there’s that stack of annual forms.
You know the ones.
Emergency contacts. Technology agreements. Medical information. Transportation forms. Permission slips. The list goes on—and somehow, there are always a few families who seem to believe those forms are going to magically find their way back to the office.
Spoiler alert: they’re not.
So, instead of keeping a handwritten list on your desk or sorting through email attachments trying to figure out who still owes what, let your Student Information System do some of the work for you.
Give “Not Returned” a Home
If your Student Information System allows custom fields, consider creating—or repurposing—a field specifically for tracking annual forms.
You might use a simple value such as: NOT RETURNED
Then, as forms come in, update the field. Once you have entered the appropriate information, you can search your SIS for students with that “NOT RETURNED” value.
And just like that, you have your follow-up list.
No guessing. No digging through folders. No wondering who still needs to turn something in.
The SIS tells you.
Now, Let’s Send a Reminder
Once you have your list of students, you can use the parent contact information in your SIS to reach out.
Here’s a little office trick:
If you export the parent email addresses for those students, you can copy and paste the addresses directly into the BCC field of your email.
And yes, they will appear!
But remember our office rule:
BCC = Protect Parent Privacy
BCC stands for Blind Carbon Copy.
When you’re sending a group reminder to families, use BCC so parents cannot see the email addresses of the other parents receiving the message.
Parents don’t need to know that Johnny’s family still hasn’t returned the technology agreement—or that Susie’s family hasn’t turned in the emergency contact form.
That information is nobody’s business but theirs and yours.
A simple, friendly reminder sent through BCC can save you from making dozens of individual phone calls.
And Who Says Forms Can’t Be Fun?
Now let’s talk about incentives.
Sometimes the best motivation isn’t another reminder email. It’s a little friendly competition.
Create a simple “All Forms Returned!” certificate, banner, or sign that a homeroom can display on their classroom door once every student has completed their forms.
Suddenly, getting paperwork turned in becomes a team effort.
“Our homeroom has 100%!”
That’s something worth bragging about!
You could even create a friendly competition between homerooms, grade levels, or teams. Keep a running tally and celebrate the classrooms that get their paperwork completed first.
Because let’s face it: school offices have enough paperwork.
If we can use the tools we already have to make tracking easier—and turn a little paperwork into a friendly competition—we might as well!
So when those annual forms start trickling in, remember:
Track it. Search it. Remind them. Protect their privacy. And celebrate when they’re done.
