1. SignUpGenius — My pick for the simplest solution
SignUpGenius is particularly well suited to the traditional parent-teacher conference model: the teacher creates 15-, 20-, or 30-minute slots and parents select an available time. Its free plan includes sign-up creation and automatic reminders, and parents don’t need to create an account.
Great for:
- Elementary conferences
- Middle/high school conferences
- Conference nights
- Multiple teachers
- Parents who aren’t particularly tech-savvy
- Schools that don’t want families creating accounts
Mrs. Office Lady rating: ⭐⭐⭐⭐⭐
2. Google Forms + Google Calendar
For a school already living in Google Workspace, you can build a surprisingly effective conference system without buying another platform.
A basic setup could be:
Google Form
→ Parent name
→ Student name
→ Teacher
→ Preferred conference time
→ In-person / virtual
→ Questions or concerns they’d like to discuss
Then use Google Calendar to manage the actual appointments.
There are also Google Workspace Marketplace add-ons that turn Forms into appointment-slot systems. For example, Slot Booking for Forms can automatically close a full time slot and put bookings onto Google Calendar.
Another free add-on, Simple Choice Eliminator, can limit each choice to one response and hide a time slot once it’s full.
Mrs. Office Lady rating: ⭐⭐⭐⭐
Best part: You can build this using tools the district may already have.
3. Microsoft Forms + Teams
Microsoft actually provides a specific workflow for parent/educator conferences.
Teachers can use Microsoft Forms to collect parents’ availability and then create the actual conference in Microsoft Teams. Microsoft specifically notes that parents/guardians do not need Microsoft 365 accounts to participate in the Teams meeting.
And Teams for Education is available at no cost for eligible educators and students using an institutional education email address.
Mrs. Office Lady rating: ⭐⭐⭐⭐⭐ for Microsoft schools
This is particularly attractive because you’re not introducing another vendor into the district environment.
4. Microsoft Bookings + Teams
If a district already has the appropriate Microsoft 365 setup, Microsoft Bookings can create an actual appointment-booking page.
Think:
Mrs. Smith – Parent Conference
4:00 PM — Available
4:20 PM — Available
4:40 PM — Booked
5:00 PM — Available
Microsoft specifically describes Bookings as a way for colleagues, pupils, and parents to schedule appointments, with appointments integrating with Outlook.
Mrs. Office Lady rating: ⭐⭐⭐⭐½
The important caveat is that availability depends on the school’s Microsoft 365 licensing/deployment. Microsoft says its education products have multiple licensing tiers, while eligible institutions can receive Office 365 Education at no cost.
5. Calendly Free
Calendly can work well when you’re talking about one teacher scheduling individual conferences, rather than an entire school conference night.
Teacher creates:
Parent Conference – 20 minutes
Then sends parents the booking link.
Good for:
Individual teachers, counselors, interventionists, IEP-related meetings, office hours.
Less ideal for:
A school-wide conference night involving dozens of teachers and families.

6. Koalendar Free
Koalendar is another option worth putting on a school-office resource list. Its free plan is designed around booking pages and can be used for parent meetings, student check-ins and office hours. A recent 2026 comparison specifically identifies it as a free scheduling option for teachers and schools.
